BACKSTAGE Event
BACKSTAGE Event is an Istanbul-based corporate event and MICE organization company. Our expert team specializes in congresses, conferences, product launches, and gala events, bringing every project from backstage to the stage.

Corporate events in Antalya and Bodrum change the production brief in four places: how the group arrives, what the resort allows, how equipment and crew reach the venue and what the weather does to anything outdoors. Antalya has a major international airport and, in Belek, purpose-built congress space. Bodrum is a peninsula with a smaller airport, where each venue is assessed on its own terms.
This guide covers what is specific to the two regions, read from the point of view of a corporate brief: access, the resort, logistics and conditions.
Last updated: October 2026.

1. Corporate events in Antalya and Bodrum: the short answer
What changes on the coast
A coastal programme adds four layers to the brief:
- Access: flights, airport transfers and arrival waves.
- The resort: its contract, its supplier rules and its own hours.
- Logistics: equipment and crew that travel from Istanbul or are sourced near the venue.
- Conditions: heat, rain and wind for anything held outdoors.
Each layer is covered below, with the questions to settle before a contract is signed.
What this guide leaves out
General corporate planning, such as goals, budgets and measurement, stays in our corporate event planning guide. Weddings are not discussed here. The general technical side of production is covered in the event production guide linked in section 5.
2. Antalya or Bodrum: matching the coast to the brief
Antalya and the Belek resort area
Antalya Airport lies about 13 km northeast of the city centre. Published 2025 figures put it at more than 39 million passengers. For a group arriving from several countries, Antalya is a major international gateway.
Belek also has purpose-built congress space. On its own page, the NEST Convention Center of Cornelia Hotels gives these figures:
- 32 km from the airport and 45 km from Antalya city centre
- 15,000 square metres of indoor space
- 5,000 square metres of outdoor event area
- a column-free main hall of 6,000 square metres with a 10-metre ceiling, divisible into five areas
The page gives no delegate capacity, so ask each venue for seated and theatre-style numbers. One venue's figures do not describe the rest of Belek.
Bodrum and the peninsula
Milas-Bodrum Airport is about 36 km northeast of Bodrum town and 16 km south of Milas. It handled just under 4.4 million passengers in 2025, more than half of them domestic, so it handles far fewer passengers than Antalya. Hotels across the peninsula add their own transfer time on top of that distance, so confirm it hotel by hotel.
For event management in Bodrum, hall sizes and capacities vary from venue to venue. Ask each venue for room sizes, ceiling heights and what can be built outdoors, and confirm every detail in writing.
Reading the brief against the coast
Before choosing between the two, turn the brief into four questions:
- How many people need to sit in one room at the same time?
- Will the whole group stay in one hotel, or be split?
- Is part of the programme outdoors, and in which month?
- How many flight origins and arrival days are involved?
The answers show which venues are worth a site visit.
3. Event formats on the coast: meetings, incentives and outdoor galas
Dealer meetings and conferences
A dealer meeting or conference on the coast needs the same elements as one in a city: a plenary room, breakout space, a stage, sound and screens. The difference is that the hall, the bedrooms and the dinner may all sit inside one resort, so the resort contract shapes the production. A divisible hall, like the Belek example above, lets a plenary turn into breakouts without moving the group. Our corporate event management service covers dealer meetings and incentive groups. For congresses and larger multi-day meetings, see our congress and summit organisation service.
Incentive trips
An incentive trip is a group trip given as a reward for reaching a company goal. On the coast it can combine leisure time with one or two produced moments, such as an awards dinner or a closing night. The production has to fit around the resort's own day, including its restaurants, pools and quiet hours. Agree early with the resort when public areas can be closed off for set-up.
Outdoor galas
A gala on a terrace or lawn brings in sound hours, wind, power and, near the water, shoreline rules. Those points are covered in sections 4 and 6. Menus, seating plans and the running order of the evening stay in our gala dinner guide.
4. Working inside a resort: supplier rules, shoreline and sound hours
Exclusive suppliers and outside production
A resort can have its own technical supplier. The contract decides whether an outside production company may work there, and terms differ from resort to resort. Ask this question first, before the design starts.
A guide written for US and European events notes two points. Hotel representatives may say that an outside production company will incur daily liaison fees, rigging charges or power fees. There is also room to negotiate until a contract with a strict exclusivity clause is signed.
Before signing, ask the resort:
- Is there an exclusive or preferred technical supplier?
- What fees apply to an outside production team, per day?
- Which rigging points can be used, and what load do they take?
- What are the load-in windows and access routes?

Beaches and the shoreline
Turkey's Coastal Law (Law No. 3621) states that the shore is open to everyone's equal and free use. It also states that nothing may be built on the shore and that barriers such as walls, fences or railings may not be put up. The law text does not say which permission allows a stage or a closed-off area on a particular stretch of shore. Settle that with the resort operator, and with the relevant authority, before the design puts anything on the sand. Get the answer in writing.
Sound hours and fireworks
Press reports on the 2022 noise rules described time limits for outdoor events, and local decisions can differ by district, so confirm the hours for your venue and date in writing.
Press reports from 2020 described Bodrum's municipality applying different outdoor music hours to different parts of the district, for entertainment venues. Rules change, so ask for the current position for your exact venue and date.
Fireworks reportedly require notice of the time and place and a permit from the local civil authority. Confirm the current requirement with that authority. If a closing night includes fireworks, start that process early.
5. Equipment from Istanbul or sourced locally
Our event production guide covers owned and hired equipment and the general sequence from brief to show day. This section covers only the move to the coast.
The road distance
The national road agency's distance table was updated on 3 March 2026. It gives these road distances:
- Istanbul to Antalya: 715 km
- Istanbul to Muğla, the provincial centre: 776 km
- Antalya to Muğla: 309 km
Bodrum lies beyond Muğla. That table has no district figures, so the real distance to a Bodrum venue is different. Driving times depend on the vehicles and the route, so set them with the transport provider.
What travels and what is sourced near the venue
Custom-built set pieces and branded elements made for the event have to travel. Standard equipment may be hired near the venue. You may work with a Bodrum event company, an Antalya supplier or a team travelling from Istanbul. In each case, ask:
- Which items travel by road, and on which days?
- Which items are hired near the venue, and who operates them?
- What spares travel with the load?
- Who is responsible for the equipment in transit?
Crew, travel days and rest
Travel days are working days in the schedule. A crew that travels in needs rooms, meals and rest before the build. The resort also has to know where the crew stays and which entrances it uses.
6. Outdoor staging on the coast: wind, heat and power
Wind on the Aegean side
Bodrum is on the Aegean, where the meltem blows across the sea from the north to northwest. A weather reference site gives its season as May to October, with its peak in July and August. Wind speed on the day varies, so build the plan around a decision point rather than a fixed number.
For an outdoor build in Bodrum, plan a wind allowance for structures, banners and screens. Agree in advance who decides to move to the indoor fallback, and by what time. The same fallback logic applies in Antalya: ask the venue for its wind limits for structures and screens.
Heat and rain
The state meteorological records for Antalya cover 1930 to 2025. They give these averages for midsummer:
| Month | Average high | Rain | Rainy days |
|---|---|---|---|
| July | 34.2°C | 4.7 mm | 0.54 days |
| August | 34.1°C | 4.3 mm | 0.55 days |
In midsummer the risk is heat, not rain. Schedule heavy build work for the cooler parts of the day, plan shade and water for the crew, and time outdoor guest moments for the evening.
Power and generators
Event power on a lawn or terrace is agreed with the resort and its technical team, so ask early what supply exists and what has to be brought in. As a reference, UK HSE event guidance lists generators, earthing, temporary cable routes and emergency power among the planning points. This guidance is not binding in Turkey. It advises placing generator enclosures where they can be reached for operations and emergencies, but away from public areas. On a lawn with no fixed supply, agree that placement with the resort, because it affects guest routes.
7. Season and calendar: when the coast works for corporate groups
Antalya by month
The same Antalya records give these averages for the months around summer:
| Month | Average high | Rain |
|---|---|---|
| April | 21.4°C | 48.5 mm |
| May | 25.7°C | 33.3 mm |
| September | 31.2°C | 16.7 mm |
| October | 26.6°C | 70.6 mm |
Winter is the wet season. December averages 250.9 mm of rain over about 12 rainy days, and January averages 225.5 mm.
A sector representative quoted in the Turkish business press expected only part of Antalya's hotels to stay open over winter. Confirm the resort's opening dates before fixing an off-season date.
Muğla figures and Bodrum
The nearest official figures for the Bodrum area come from the Muğla provincial centre station, which is not on the Bodrum coast and covers 2001 to 2025. It gives average highs of 25.7°C in May, 33.2°C in July, 32.9°C in August and 26.1°C in October, and an average of 206.5 mm of rain in December.
The Antalya and Muğla stations cover different periods, so they are not compared directly. For an outdoor water-side moment, ask the resort about sea conditions for your month. Wedding seasons are covered in our beach wedding guide.
Booking windows
In September 2025 the head of Bodrum's hoteliers' association described September as "sarı yaz", the "yellow summer". He also said a large share of that season's sales had come through winter early booking. For a corporate group that needs rooms in summer or early autumn, start talking to the resort the winter before.
8. Getting the group there: flights, transfers and hotel blocks
Flights
Flight times depend on the origin and the day, so build arrival waves around the flights that actually operate from each origin on your dates. For Bodrum event management, use the airport distance in section 2 as the starting point of the transfer plan.
Transfers
A coastal transfer plan answers these questions:
- Who meets each flight?
- How does luggage move?
- How long do guests wait for the next vehicle?
- What happens when a flight is late?
Transfer times depend on the resort, the route and the hour, so they are set for each hotel during planning. Our VIP transfer and logistics management service covers group transfers and shuttles.
Hotel blocks
One resort keeps guests, sessions and production in one place. Splitting the group adds a transfer to every session. Ask the resort about release dates for unused rooms, rooms for the crew and its opening dates outside high season. Our hotel accommodation service covers group bookings and room blocks.
9. Timeline: from brief to show day on the coast
Steps the coast adds
The general sequence from brief to show day is set out in the event production guide linked in section 5. For congresses, the planning timeline is in our congress organisation guide. The coast adds these steps:
- A resort contract that states supplier rules and outside-production fees.
- A site visit that includes outdoor spaces and the shoreline.
- Written confirmation of sound hours and any shoreline use.
- A fireworks permit application, if needed.
- A road plan for equipment, with travel days in the schedule.
- An agreed weather fallback, with a decision time.
- Room blocks for guests and crew, started early for summer dates.
Decisions to put in writing
Get the outside-production terms, the limits on outdoor and shoreline builds, the sound hours and the fallback decision confirmed in writing by the resort or the relevant authority. Each changes the design, so settle them before the drawings are final.

10. Production we have delivered
Lessons from our published projects
The project pages below are from Istanbul. Each solved a problem a resort brief also raises: restricted interiors and guest flow.
Restricted interiors
The İş Bankası 100th anniversary event took place in a heritage venue. The production paired a sculptural three-dimensional "100" installation with corporate-blue lounge furniture. It worked within a protected interior where fixings and load points were tightly restricted. Any resort contract should state what may be fixed where.
Guest flow and service points
At the Tüpraş corporate new year party, the production covered branded bar and service points, staffed catering stations and the guest flow through the venue. Sorted waste stations were integrated into the layout rather than hidden behind it. A resort dinner raises the same layout questions: where guests enter, where service runs and where waste goes.

Frequently Asked Questions
What does corporate event management in Bodrum involve?+
Beyond the event itself, it covers access, the resort and logistics. Guests fly into Milas-Bodrum Airport, about 36 km from the town, then transfer to the hotel. The resort contract can set supplier rules and fees. Equipment either travels from Istanbul by road or is hired nearby, and outdoor elements need a wind and weather fallback.
What should I ask a Bodrum event company before booking?+
Ask which equipment travels from Istanbul and which is hired near the venue, who operates it, and what spares come with it. Ask whether the resort allows an outside production team and at what daily cost, who confirms sound hours and shoreline use in writing, and what the weather fallback is.
What should I check for MICE services in Bodrum?+
Check each venue directly rather than relying on general lists. Ask for the plenary room size, ceiling height, divisible areas, rigging points, power supply and outdoor build limits in writing. Confirm the resort's supplier rules, its load-in windows and its opening dates, and plan transfers from Milas-Bodrum Airport.
How do guests and equipment reach an event in Bodrum?+
Milas-Bodrum Airport lies about 36 km northeast of Bodrum town, and hotels across the peninsula add their own transfer time, so plan transfers per flight and per resort. By road, Bodrum lies beyond Muğla, which the national distance table puts 776 km from Istanbul.
When should I book a resort for a corporate event in Bodrum?+
In September 2025 the head of Bodrum's hoteliers' association said a large share of sales came through winter early booking, and called September the 'yellow summer'. So request room blocks and venue dates the winter before the event. For outdoor elements, allow for heat and for the meltem, a seasonal Aegean wind that blows from May to October.
