BACKSTAGE Event manages group hotel accommodation for events in Istanbul and across Turkey: room blocks negotiated across several hotels, one agreed rate sheet, rooming lists kept in order and check-in that works even when three hundred guests land on the same afternoon. Accommodation is not a side errand of an event — it decides how every morning of it starts.
We start from the guest list, not the hotel brochure: budget tiers, distance to the venue, breakfast and late check-out needs. Then we negotiate blocks in parallel across suitable hotels, hold options until your numbers firm up, and contract the mix — five-star for VIPs, comfortable four-star for the wider group, same street where possible. From there we run the rooming list, chase the changes and coordinate arrival with the front desks.
Accommodation shows its value on multi-day programmes: congress delegations whose room block is part of the sponsorship math, and wedding guest lists flying in from three continents for one weekend. In both, the block is negotiated once and the guests never see the machinery.
Send the guest count, the dates and the venue — a short brief is enough. We return with two or three hotel scenarios, price-anchored and mapped to the venue, before you commit to anything.
For congresses, together with the venue — hotel capacity near the venue is part of the date decision, so blocks are held as early as the venue itself, up to 12–18 months out. For weddings, four to six months is usually comfortable; September–October and May–June in Istanbul tighten earlier.
