BACKSTAGE Event produces national and international congresses, summits and conferences in Istanbul — as a single production partner, not a broker. Accreditation, staging, sound and light, simultaneous interpretation, speaker hospitality and delegate logistics are run by one team under one budget. Our production references include the Eurasia Blockchain Summit, SDN Summit and Ayvalık Business Forum, alongside corporate work for brands such as Ford, Toyota and İş Bankası.
First impressions happen at the entrance: branded registration desks, turnstile-controlled access, badge printing and staffed welcome lines — built and operated by us, as at the Eurasia Blockchain Summit, where the accreditation gate was part of the production itself.
Main-stage LED walls, line-array sound, show lighting, simultaneous interpretation booths and session-room AV all come from our own production stack, with redundancy planned for anything that cannot fail mid-keynote. Hybrid sessions and live streaming connect to our digital and hybrid event solutions.
Speaker journeys are managed door to door: invitations and briefings, travel and hotel coordination, green rooms, stage rehearsals and on-stage cueing, with protocol handling for ministers, executives and delegations.
Parallel sessions, catering windows, sponsor areas and networking breaks are drawn on one master timeline, so a two-day, multi-hall congress moves without queues or dead air.
The Eurasia Blockchain Summit brought an international audience into a historic industrial complex: turnstile accreditation, a red-carpet arrival axis and a main stage built from scratch in a raw space. The SDN Summit was the opposite exercise — a technology congress inside a convention centre, where the work was dense sponsor branding, entrance architecture and wayfinding across floors. The Ayvalık Business Forum moved the format outdoors entirely: a forum village of tent structures, an open-air stage and sponsor pavilions on lawns. Three venues, three logistics problems, one production method.
We produce in congress centres, hotel conference floors and converted historic venues — the Eurasia Blockchain Summit ran in a restored industrial complex on the Golden Horn. Delegate room blocks are negotiated through our group hotel accommodation service, and airport pickups and shuttle loops through VIP transfer and logistics, so the congress works for people who landed that morning.
International congresses reward early starts: venue and date locked 12–18 months out, sponsorship packages and speaker invitations next, production design in the final six months. Our congress organization guide for Istanbul publishes the full 18-month countdown, visa invitation procedure and seasonal calendar. When you are ready to test dates and budgets, send us your congress brief — we respond with a venue shortlist and a first budget frame.
Twelve to eighteen months is the comfortable window for an international congress: venue and dates first, then sponsorship and speaker invitations, with production design in the final six months. Smaller single-hall conferences can be delivered in three to four months.
Yes. Interpretation booths, receivers and sound routing are part of our technical stack, and we contract conference interpreters per language pair. Multi-language congresses typically run two to four booths in the main hall.
Yes. We produce hybrid congresses with multi-camera direction, live streaming, remote speakers on the main screen and session recordings delivered after the event, through our digital events team.
Yes. We negotiate room blocks across several hotels near the venue, manage rooming lists and coordinate check-in with the hotels, so delegates book at agreed rates without emailing spreadsheets around.
Yes. For international delegates we prepare the invitation letter workflow with the host organization and share the procedure step by step — the practice is covered in our congress guide as well.
From concept to execution, we handle every detail of your event.
